The refurbished POS hardware market has grown substantially over the last five years. End-of-lease retail estates churn iPads, sleds, scanners and chip-and-PIN devices in volume; specialist refurbishers refurbish them; mid-market operators buy them at 30–50% discount to new. The savings are real, but so are the risks if you choose the wrong supplier. This is the procurement framework we use with multi-site customers considering refurbished kit. What "refurbished" actually means The term covers a wide spectrum: Grade A — tested, cleaned, near-new condition, minimal cosmetic wear. Typically 20–30% discount to new Grade B — tested, working, visible cosmetic wear. Typically 30–45% discount Grade C — tested, working, significant cosmetic wear. Typically 45–60% discount As-is / parts — untested, sold without warranty. Not a procurement option for production deployment The lines between grades aren't standardised — they're set by the refurbisher. Confirm the grading scheme with your supplier before ordering. Where refurbished works well We recommend refurbished for: Back-of-house and stock-room hardware — scanners and tablets that aren't customer-facing Spares pool — a refurbished spares pool at 50% of new pricing is excellent value Pilot deployments — try a new workflow on refurbished kit before committing to new Time-bound projects — pop-up retail, temporary events, seasonal expansion Estates with established POS configurations — proven hardware models, predictable failure rates Where new is the right answer We recommend new for: Customer-facing chip-and-PIN devices — newer PCI PTS certifications, longer firmware support windows, better acquirer compatibility iPads or smartphones running current-gen OS — battery life and processor headroom matter for 5+ year deployments Mission-critical single-point-of-failure devices — the chip-and-PIN at your busiest venue is not the place to save £200 Fleet deployments where uniform hardware matters — refurbished often comes in mixed-batch lots Warranty and support implications The single biggest risk in refurbished hardware is what happens when something breaks: Manufacturer warranty typically doesn't transfer with refurbished hardware Reseller warranty varies hugely — 30 days, 90 days, 6 months, 12 months are all common Battery health is often not warranted at all — and degraded batteries are the most common failure mode Spare parts availability is shorter — older models go end-of-life faster than newer ones A 12-month reseller warranty on refurbished hardware is genuinely valuable. A 30-day warranty is essentially "tested at time of shipping" and not real coverage for production deployment. Supplier due diligence A short checklist of questions to ask any refurbished POS supplier: What's the grading process? Documented procedure, not "we just check it" What's tested? Battery health, screen, scanner engine, Wi-Fi, Bluetooth, charging port — all separately What's the warranty term and what does it cover? What's the failure-rate data on similar batches? What's the spares-availability commitment? What's the chain of custody? Where did the hardware come from? Suppliers who can answer all six are typically the ones worth buying from. Suppliers who can answer fewer than three are not.
